Job Summary
To provide administration services to assist the smooth running of the Sales function within Outsource Solutions.

Reports to: Sales Co-ordinator

Main Duties

Sales Support
• Provide ongoing admin sales support for the Sales Team
• Answer sales related calls including queries / complaints and forward to appropriate member of the sales team or escalate to the Sales Manager if necessary.
• Review quotes as directed from the Account Manager and source prices on items including hardware and software from recognised suppliers.
• Negotiate with suppliers and agree prices in consultation with Sales Co-ordinator / Account Manager ensuring competitive prices, timely delivery of items and items match the exact specification.
• In conjunction with Sales Executives, generate “win opportunities” on Company system to generate Purchase orders.
• Follow up with suppliers on purchase orders regarding delivery dates and any queries.
• Check off goods received into the system on a daily basis to ensure up to date information for sales and technical teams.
• Manage all incidental sales including purchasing of items as required with key suppliers.
• Regularly review “my opportunities; to do’s and overdue items” and close off in a timely fashion.

Contracts and Renewals
• Ensure all contract details are created and entered on the Sales Dashboard, including renewal dates
• Prepare monthly report listings on anti-virus and encryption certificate renewals.
• Review customer listing and contact customers regarding their renewals.
• Follow up / seek clarification on any queries in relation to renewals
• Where possible identify or refer potential growth opportunities in existing clients to Sales Team
• Update the Company system regarding renewals as required.

Customer Service
• Develop positive working relationships with clients by phone and email.
• Ensure customer queries are dealt with in a timely fashion
• Provide first contact with sales enquires and direct to relevant person.

Technical and system knowledge
• Maintain and ensure ongoing advancement of your IT knowledge to enable effective communication with the customers / suppliers.
• Attend in-house and external training sessions in key products and their application.

• Ensure individual daily hours are accurately recorded against clients / tasks and coded daily.
• Work in conjunction with the Sales and Technical Team to maximise customer relationships.
• Develop shared learning opportunities within and across teams
• Assist other staff and Directors with ad hoc duties / projects as required.
• Any other duties as deemed by the Sales Manager / Sales Co-ordinator to be within the scope of your skills.
• Attend in house and external courses, including correspondence courses to develop your skills and product knowledge throughout your career with Outsource Solutions.

A minimum of 2 – 3 years in an Administration role
Experience of working with CRM packages
Effective communicator by phone and email with customers / suppliers
A track record of effective administration skills in a busy office environment

Experience of selling IT managed services
Experience of sales prospecting and winning sales
Effective communicator by phone and email with customers / suppliers
Working knowledge of  business technology
